For a high-consideration program like Scaler's, conversion quality matters far more than conversion volume but the funnel couldn't tell the difference. Every lead from social media campaigns, hackathons, and workshops entered the same queue, worked the same way, without structure, signal, or speed.

The result was an end-to-end AI-powered engagement layer covering five stages of Scaler's learner acquisition funnel.

Key workflows included:

  • Lead verification & intelligent qualification: The voice agent calls inbound leads and collects structured qualifying data through natural conversation - current company (product vs. service), years of experience, current role, employment status, career aspirations, and tech vs. non-tech background. Leads unemployed for six or more months are filtered out automatically. The goal is not volume - it is identifying the premium, high-quality persona that Scaler's programs are built for.

  • Personalised pitching at scale: Based on data collected during the call, the agent generates and delivers a personalised pitch - referencing the lead's specific background to make the conversation feel tailored rather than scripted. A lead with eight years in QA hears about transitioning into software development. A candidate earning below market benchmarks hears about the salary trajectory Scaler's alumni have achieved. This context-aware engagement dramatically improves relatability and conversion intent.

  • Hot lead detection & priority routing: Leads who ask multiple questions - about curriculum, outcomes, career paths, or placement - are flagged as "super hot" in real time. These leads are prioritised for human follow-up within two hours, ensuring Scaler's senior counsellors focus their energy on the prospects most likely to convert, rather than working through an undifferentiated queue.

  • Callback scheduling & WhatsApp TRO trigger: Once interest is established, the agent gauges intent, asks for a preferred callback time, and schedules a call with a senior human counsellor - the primary conversion gateway. Post-call, leads who qualify receive an automated WhatsApp message with a Trial Roll Out (TRO) test link. Completing the test is the key step before human conversion begins. The agent ensures this step is never missed.

  • Contextual re-dial for mid-funnel recovery: For leads who had a meaningful conversation, but no callback confirmation - the agent captures key signals: call duration, interest level, intent, and specific objections. When the agent calls back, it references the prior conversation directly - rebuilding trust, addressing the specific hesitation, and converting a stalled lead into a confirmed callback.
